SWIMTANK Terms & Conditions
Confirmation of Enrolment
Your enrolment is only confirmed once payment has been successfully received. To make payment, log into your Parent Portal and add a bank card by following this [Parent Portal link] or accessing the link at the top of our website. Once your card is loaded, you can securely process payment to secure your swimming lessons. If you prefer to pay in instalments instead of the full balance, please follow the steps to load your bank card and then email us to request instalment payments.
Payment Terms
For each term, payments will be debited from the bank card provided at enrolment. You may choose to pay either termly or in instalments. To pay in instalments, simply email us with your request. Otherwise, we will assume you wish to pay termly. Payments are processed a few weeks prior to the start of each new term, and you will be notified of the exact date with sufficient notice.
Continuous Enrolment
All swimmers are automatically re-enrolled into each new term. If you do not wish to continue, you must inform us before the stated deadline for that term. We will provide clear notice of this date. If you notify us after the deadline, a £50 late cancellation fee will apply. Additionally, at any point, a minimum of four weeks’ written notice is required if you wish to stop lessons.
Termination of Lessons
Any cancellation or change to your booking requires a minimum of four weeks’ notice. Lessons that fall within this notice period remain payable and can still be attended. If we have already collected payment for a new term and you cancel after payment, a £75 late cancellation fee will apply.
Missed Lessons and Make-Up Policy
Each swimmer is entitled to one make-up lesson per term. This does not apply to baby classes or adult group lessons. To qualify for a make-up lesson, absences must be logged in advance via the SWIMTANK app or Parent Portal. Once approved, you will be able to schedule a make-up lesson by selecting from available slots across our venues.
- Availability is not guaranteed, as make-up slots depend on other swimmers’ absences. More options typically become available closer to your desired date.
- If you select a make-up lesson that is of higher value than your usual lesson, the difference in cost will be charged.
- If an absence is not logged in advance and is instead recorded by the teacher on the day, it will be treated as a no-show and the make-up lesson will be forfeited.
- Make-up lessons cannot be used once a swimmer is no longer enrolled at SWIMTANK.
Adult Swimmers
Missed adult group lessons cannot be rescheduled in the same way as children’s lessons. However, we offer the option to exchange one missed lesson for a one-hour lane swim session at our Mill Hill venue, subject to arrangement. Swim hats are compulsory for all adult swimmers and goggles are strongly recommended.
Swimming Hats
Swim hats are compulsory for all swimmers except babies. Your first SWIMTANK swim hat is provided free of charge. Squad swimmers will receive a squad-specific hat, which must be worn during sessions. Replacement hats will incur a charge if lost or damaged.
Changing Room Policy
- Children aged 8 and under may use either changing room when accompanied by a parent.
- A mother accompanying a boy, 8 and younger should use the female changing room. A father accompanying a girl, 8 and younger should use the male changing room.
- Children aged 9 and above must use the changing room that corresponds with their gender. They may only be accompanied by an adult of the same gender.
